Job Summary
We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management functions. Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with clarity and professionalism
  • Maintain organized filing systems, data entry records, and manage document proofreading for accuracy
  • Support appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office
  • Assist with office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and general clerical duties
  • Provide excellent customer support by addressing questions or concerns efficiently and courteously

Requirements

  • Proven office or administrative experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and phone etiquette is essential
  • Bilingual abilities are highly preferred to serve diverse clientele effectively
  • Familiarity with office management tasks such as filing, data entry, proofreading, and calendar management
  • Prior experience as a dental or medical receptionist or personal assistant is a plus
  • Strong typing skills with a focus on accuracy and speed; excellent time management skills are necessary
  • Knowledge of clerical procedures including customer service practices and basic bookkeeping (QuickBooks experience is advantageous)
