Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and maintain accurate records with attention to detail and proofreading skills
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including typing documents, proofreading correspondence, and managing office correspondence
- Provide customer support by addressing inquiries via phone or email with professionalism and clarity
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills
- Previous clerical or administrative experience preferred; experience as a receptionist or personal assistant is a plus
- Bilingual abilities are highly desirable to serve diverse clients and visitors effectively
- Strong phone etiquette with experience managing multi-line phone systems and providing customer service
- Knowledge of office management procedures such as filing systems, calendar management, and record keeping
- Ability to multitask efficiently in a fast-paced environment while maintaining professionalism
