The Front Desk Clerk plays a key role in delivering an excellent patient experience while ensuring smooth day-to-day front desk operations at our dental clinic. This position involves welcoming patients, managing appointments, handling inquiries, and supporting the dental team through efficient administrative coordination.
Key ResponsibilitiesPatient Reception & Customer Service
- Welcome patients in a friendly, professional manner upon arrival
- Manage patient check-in and check-out processes, ensuring all documentation is completed accurately
- Provide clear information regarding dental services, procedures, and insurance coverage
- Address patient questions and concerns promptly and courteously
Appointment Scheduling & Coordination
- Schedule, reschedule, and manage patient appointments using the clinic’s scheduling system
- Confirm upcoming appointments and follow up on missed visits
- Coordinate with dentists and clinical staff to ensure optimal patient flow
Administrative Support
- Answer and route incoming calls to the appropriate team members
- Manage emails, correspondence, and front desk communications
- Maintain a clean, organized, and professional reception area
- Perform routine clerical tasks such as filing, scanning, photocopying, and record management
Billing & Insurance Assistance
- Verify and update patient insurance details
- Collect payments, co-payments, and process billing transactions accurately
- Assist patients with insurance claims and billing-related inquiries
Records & Compliance
- Maintain accurate, confidential patient records
- Adhere to clinic policies, procedures, and data privacy regulations (HIPAA compliance)
- Support health, safety, and regulatory standards
Team Coordination & Communication
- Work closely with dentists, hygienists, and assistants to ensure timely patient care
- Communicate effectively with internal teams to resolve patient needs efficiently
