<Responsibilities>

  • Greet visitors, clients, and staff with a friendly and professional demeanor, providing excellent customer service at all times
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries efficiently using computer literacy and office management skills
  • Maintain front desk operations by managing appointment calendars, scheduling meetings, and coordinating with other departments
  • Perform clerical duties such as data entry, filing, proofreading documents, and maintaining organized records
  • Support office management tasks including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar tools
  • Assist with special projects or administrative support as needed to ensure smooth daily operations

<Requirements>

  • Proven office experience with strong organizational skills and attention to detail
  • Excellent computer skills including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Prior clerical or administrative experience in a professional setting is preferred
  • Strong customer service orientation with effective communication skills; bilingual abilities are a plus
  • Experience with multi-line phone systems and phone etiquette is essential
  • Ability to handle data entry accurately with good typing speed and proofreading skills
  • Familiarity with office management software such as QuickBooks or bookkeeping tools is advantageous
  • Previous experience as a receptionist in medical or dental settings or as a personal assistant is beneficial
  • Demonstrated time management skills to prioritize tasks efficiently in a busy environment
