Duties

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems with clear, courteous phone etiquette; direct calls accurately and efficiently
  • Handle front desk responsibilities including checking in guests, scheduling appointments, and managing visitor logs
  • Maintain office organization through filing, data entry, and document proofreading to ensure accuracy and accessibility
  • Support administrative tasks such as calendar management, appointment scheduling, and personal assistant duties as needed
  • Operate office equipment including computers, Microsoft Office Suite, Google Workspace applications, QuickBooks, and other relevant software
  • Assist with clerical duties like filing, photocopying, and managing correspondence to keep the front desk running smoothly

Skills

  • Proven experience in front desk operations or office management roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry tools
  • Bilingual abilities are highly valued to serve diverse client needs effectively
  • Strong customer service background with professional phone etiquette and interpersonal skills
  • Familiarity with QuickBooks bookkeeping software and basic office bookkeeping practices preferred
  • Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment
  • Demonstrated time management skills with the ability to prioritize tasks effectively
  • Previous clerical or administrative experience coupled with personal assistant or calendar management expertise
