Front Desk Coordinator

If you’re looking for a boring front desk job, this definitely isn’t it. Join the Nios Team! We stand out as a premier medical spa, with locations in Columbus Circle (Manhattan), Barclay's Center (Downtown Brooklyn) and Astoria (Queens). Here at Nios, we’re passionate about helping people look and feel their very best. A lot of front desk roles are built around doing the same thing on repeat. Smile. Nod. Read the script. Count the minutes. That’s not this job.

At Nios, we’re reimagining what a front desk professional can be. We sit at the intersection of high-performance esthetics and almost-unreasonable hospitality—and the front desk is the engine that keeps the whole experience moving. We’re not just looking for a receptionist; we’re looking for someone who wants to grow from first point-of-contact to a true operator and future leader.

You’re not just the face of the brand—you’re the rhythm-setter of the shift. When the phone rings, a client arrives early, another arrives late, and a provider is catching up, you don’t panic. You prioritize, you orchestrate, and you make the room feel calm even when you’re juggling twenty things at once.

If you love ownership, learning, and leveling up, you’ll feel at home here!

Essential Responsibilities:

  • Customer Service: Be the face of Nios! From greeting clients to handling calls, answering queries, scheduling appointments, and managing emails, you'll ensure our clients feel valued and cared for every step of the way. You will also assist with insurance authorizations and billing.
  • Office Admin: Keep things running smoothly by managing client intake, insurance authorizations, schedule optimizing, and maintaining a tidy workspace.

Your Growth Path: What Success Looks Like

Day 30

  • You’ve learned our booking systems
  • You know our service menu and can give clear, confident explanations—from electrolysis to facial treatments.

Day 90

  • You can navigate a fully booked Saturday with grace.
  • You’ve picked up the preferences of our regulars (tea drinkers, quiet room lovers, fashionably late arrivals).
  • You’re solving small scheduling puzzles before they reach the manager’s desk.

Day 180

  • You’re spotting workflow improvements and suggesting thoughtful fixes.
  • You’re supporting retail recommendations not by selling hard, but by genuinely understanding what helps clients maintain their glow.
  • You’re stepping into leadership—mentoring newer team members and helping guide the shift.

The Ideal Candidate (You):

We’re not hiring for a specific resume. We’re hiring for a way of thinking:

  • You Hold High Standards: If a display is crooked or a mirror smudged, you’ll notice—and you’ll quietly make it right.
  • You’re a People Person: You love people, whether it’s a nervous first timer, a seasoned client, or your fellow coworkers.
  • You’re Efficiency-Savvy: To you, the schedule is a puzzle—not a chore. You know how to use every minute to support the team.
  • You Stay Steady: You lead with empathy and positive intent. Even tough interactions don’t rattle you; you’re naturally good at de-escalating and redirecting.
  • You Want To Grow: We primarily promote from within to management positions. You want to stay with us for the long term & become an assistant manager, manager, or director down the line.

What You Get:

Hourly: $20/hour + commission on retail products

Benefits (some of the best in the industry):

  • Medical, Dental, Vision after 90 days (60% employer-paid)
  • 401(k) with employer match
