The Front Desk Coordinator collaborates with the multidisciplinary child abuse investigative teams (MDTs) from Manitowoc, Ozaukee, Sheboygan, and Washington Counties to coordinate child abuse evaluations in the safe, neutral, and family-friendly facilities of Lakeshore Child Advocacy Center (CAC). This role is primarily stationed at the Sheboygan Child Advocacy Center, with occasional travel required to the Saukville Child Advocacy Center. The Front Desk Coordinator reports to the administrative team. Key responsibilities include collecting case information and scheduling cases at the center, providing clerical support to both staff and partners, handling bookkeeping tasks, and supervising the CAC waiting room.
Responsibilities
- Carry out general clerical duties, including facilitating communication via phone, e-mail, and Microsoft Teams, as well as organizing both hardcopy and digital center materials.
- Manage multiple calendars efficiently.
- Collect intake information, schedule forensic interviews and medical exams, and ensure that all investigative partners are notified accordingly.
- Maintain confidentiality in all matters concerning clients, staff, and agency information.
- Collect, forward, and accurately record all financial records as directed by the administrative team.
- Greet partners, families, and visitors, ensuring compliance with center policies.
- Supervise the waiting room for children and family members.
- Work collaboratively with the administrative team to recruit, interview, and manage volunteers for the center.
- Ensure that the waiting room, kitchenette, and other common areas are clean, sanitized, and free from clutter.
- Carry out other duties as assigned.
Qualifications
- Graduation from a standard school, supplemented with business courses or other relevant training, or at least 2 years of related experience.
- Background or education in child development and/or experience working directly with children and families.
- Ability and comfort in interacting with children and adults receiving services at Lakeshore CAC.
- Proficient computer skills with experience using Office 365 and Microsoft Teams.
- Strong organizational skills for effective office management.
- Excellent time management and multitasking abilities.
Preferred Candidate Qualifications
- Experience collaborating with members of a multidisciplinary team, such as law enforcement, human services, victim advocacy, or the district attorney’s office is strongly preferred.
- Previous experience working in an agency providing services to children, caregivers, and professional groups.
- Strong communication and interpersonal skills to form positive relationships with individuals of diverse backgrounds and experiences.
- Ability and comfort in interacting with children and adults experiencing traumatic events.
- Demonstration of competence in managing the potential impacts of vicarious/secondary trauma from ongoing exposure to oral, written, and evidence related to child abuse, child drug endangerment, family violence, and other child-related crimes.
Position Details
This is a full-time position, requiring 40 hours per week. The role includes paid time off, paid holidays, eligibility for a Simple IRA retirement plan, and health, dental, and vision insurance.
