Position: Front Office Desk Executive & Admin Assistant
We are seeking a professional, highly organized, and proactive Front Office Executive & Administrator to join our Property Management company in Dubai. This role requires a detail-oriented individual with strong communication, coordination, and multitasking abilities who can thrive in a fast-paced environment. As the first point of contact for clients, visitors, tenants, and staff, the candidate will play a key role in maintaining efficient day-to-day office operations while delivering a professional and welcoming experience.
Operational Responsibilities:
· Handle incoming calls and visitors at the front desk.
· Handle incoming & outgoing emails, correspondences, couriers and deliveries.
· Handle tenant inquiries and tenant coordination
· Coordinate with inter-department team for updates and follow ups.
· Prepare letters, NOCS, notices, circulars, and correspondence to tenants/ vendors/ government departments as and when required.
· Maintain filing systems for documents & correspondences in an organized manner
· Schedule meetings and appointments
· Record all maintenance calls and update the maintenance team through the relevant channels
· Coordinate and liaise with government authorities and utility providers including DEWA, DCD, Dubai Municipality, and other relevant entities.
· Manage renewals and documentation related to company operations, including permits, licenses, staff records, insurance, banking requirements, and regulatory compliance.
Real estate Responsibilities:
· Handle initial inquiries and assign leads to agents.
· Accurate record and track leads.
· Create, update & verify listings on property portals (Bayut/ Dubizzle/ Website)
· Ensure smooth operations on portals and coordinate with support team for any technical issues
· Maintain accurate records and databases of properties and real estate transactions.
Requirements & Qualifications:
· Proven 1-3 years’ experience as a front office executive or admin assistant.
· Must be a highly organized individual with excellent communication skills (speaking & writing)
· Proficiency in MS Office, Google docs/ sheets, CRMs
· Fluency in speaking English & Hindi is mandatory.
· Must be able to multi task and keep up in a fast-paced environment.
· Professional appearance and demeanour.
· High level of discretion and confidentiality.
· Ability to work independently and as a part of a team.
· Familiarity with office equipment (E.g.: Printers, scanners, phone systems etc.)
Education & Experience:
· Bachelor’s degree or diploma in Business Administration or related field preferred.
Work Environment:
· Office based, Monday to Saturday 9:00 am to 6:00pm
Pay: AED3,500.00 per month
