Overview
We are seeking a dynamic and organized Front Desk & Marketing professional to join our team! This role is vital in creating a welcoming environment for clients and visitors while actively supporting marketing initiatives to promote our brand. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for visitors and callers, manage administrative tasks, and assist with marketing efforts to enhance our visibility and engagement. This paid position offers a fantastic opportunity to develop your office management and marketing skills in a vibrant, fast-paced setting.

Duties

  • Greet visitors warmly, ensuring a positive first impression and providing exceptional customer service.
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette.
  • Handle front desk responsibilities including scheduling appointments, checking in clients, and managing visitor logs.
  • Maintain organized filing systems, data entry, and accurate record-keeping using Microsoft Office, Google Workspace, and other office tools.
  • Support office management tasks such as calendar management, supply ordering, and general administrative support.
  • Assist with marketing activities including social media updates, email campaigns, and promotional materials to increase brand awareness.
  • Perform clerical duties such as proofreading documents, managing correspondence, and supporting bookkeeping activities using QuickBooks or similar software.

Qualifications

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
  • Prior experience as a receptionist or in customer support roles with strong phone etiquette skills.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Knowledge of multi-line phone systems, filing systems, and basic bookkeeping (QuickBooks preferred).
  • Strong typing skills with attention to detail for proofreading and document accuracy.
  • Ability to manage time effectively in a fast-paced environment while maintaining professionalism and courtesy.
