Front Desk & Marketing Coordinator – Orthodontic Office

Job Summary
We are seeking an energetic and detail-oriented Front Desk & Marketing Coordinator to join our dynamic orthodontic practice. This vital role combines exceptional patient service with proactive marketing support, ensuring a welcoming environment for patients while promoting our practice’s growth. Duties

  • Greet patients warmly upon arrival, ensuring a positive first impression and smooth check-in process
  • Manage appointment scheduling using EMR (Electronic Medical Records) systems such as Epic, Meditech, or Eaglesoft
  • Verify insurance coverage, perform insurance eligibility checks, and handle insurance verifications efficiently
  • Assist with patient intake processes, including collecting medical history and updating records accurately
  • Support marketing efforts by managing social media accounts, creating promotional materials, and coordinating community outreach events
  • Maintain accurate and organized medical records, ensuring compliance with HIPAA regulations and documentation standards
  • Handle multi-line phone systems with professionalism, providing excellent customer service and directing calls appropriately

Requirements

  • Proven experience in medical or dental front desk roles, preferably within an orthodontic or dental clinic setting
  • Strong knowledge of EMR/EHR systems such as Epic, Meditech, Dentrix, Eaglesoft, or Athenahealth
  • Familiarity with medical coding including CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding for accurate documentation and billing
  • Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and clinic management software
  • Ability to communicate effectively in English; bilingual skills are a plus to serve diverse patient populations
  • Knowledge of dental terminology and health information management practices
  • Exceptional organizational skills with attention to detail in filing, documentation review, and data entry
  • Strong phone etiquette and customer service orientation to create a welcoming environment for patients and visitors
  • Ability to multitask efficiently in a fast-paced office environment while maintaining professionalism and accuracy

Pay: $19.90 - $29.70 per hour
