Job Summary
We are seeking an energetic and detail-oriented Front Desk & Marketing Coordinator to join our dynamic orthodontic practice. Duties
- Greet patients warmly upon arrival, ensuring a positive first impression and smooth check-in process
- Manage appointment scheduling using EMR (Electronic Medical Records) systems such as Epic, Meditech, or Eaglesoft
- Verify insurance coverage, perform insurance eligibility checks, and handle insurance verifications efficiently
- Assist with patient intake processes, including collecting medical history and updating records accurately
- Support marketing efforts by managing social media accounts, creating promotional materials, and coordinating community outreach events
- Maintain accurate and organized medical records, ensuring compliance with HIPAA regulations and documentation standards
- Handle multi-line phone systems with professionalism, providing excellent customer service and directing calls appropriately
Requirements
- Proven experience in medical or dental front desk roles, preferably within an orthodontic or dental clinic setting
- Strong knowledge of EMR/EHR systems such as Epic, Meditech, Dentrix, Eaglesoft, or Athenahealth
- Familiarity with medical coding including CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding for accurate documentation and billing
- Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and clinic management software
- Ability to communicate effectively in English; bilingual skills are a plus to serve diverse patient populations
- Knowledge of dental terminology and health information management practices
- Exceptional organizational skills with attention to detail in filing, documentation review, and data entry
- Strong phone etiquette and customer service orientation to create a welcoming environment for patients and visitors
- Ability to multitask efficiently in a fast-paced office environment while maintaining professionalism and accuracy
