We are seeking a reliable, organized Front Desk / Office Assistant to help keep the office running smoothly and provide administrative support to the brokerage.
Position Overview
This position serves as the first point of contact for our office while also assisting with daily administrative tasks, transaction tracking, and office organization. The ideal candidate is dependable, detail-oriented, comfortable with basic technology, and enjoys supporting a busy professional office environment.
ResponsibilitiesOffice Opening & Front Desk
- Open the office each morning (lights, music, general office setup)
- Answer phones and greet visitors
- Provide general support to agents and staff
- Maintain a consistent and welcoming presence at the front desk
Administrative Support
- Assist the Owner / Managing Principal Broker with administrative tasks
- Prepare CDAs for transaction closings
- Review pending transactions in Skyslope and update internal tracking spreadsheets
- Monitor company bank accounts for commission deposits
- Assist with the commission payout process when deposits are received
Transaction & Agent Support
- Complete agent onboarding and offboarding tasks
- Prepare onboarding and recruiting materials
- Answer agent questions and help direct them to resources
- Maintain transaction and office tracking spreadsheets
Billing & Bookkeeping
- Process monthly billing for agents
- Send invoices through QuickBooks
- Categorize transactions in company bank feeds
- Process credit invoices after monthly site fee billing
Office Operations
- Light office cleaning and organization
Marketing & Social Media Support
- Schedule social media posts
- Create posts recognizing:
- New agents
- Monthly top achievers
- Featured listings
Calendar & Event Coordination
- Monitor the Discovery Team Calendar
- Prepare the training room for meetings or events
- Research and schedule community events
Qualifications
- Strong organizational and time management skills
- Friendly and professional communication skills
- Basic computer skills (Google Sheets/Excel, email, social media)
- Comfortable learning new software (Skyslope, QuickBooks, etc.)
- Ability to multitask in a fast-paced office environment
- Reliable and punctual
Preferred (but not required)
- Administrative or office experience
- Basic bookkeeping experience
- Familiarity with real estate transactions or industry software
Compensation & Benefits
- Hourly position starting at Oregon minimum wage ($18/hour)
- Monday–Friday schedule (9:00 AM – 5:00 PM)
- Professional office environment
