Job Summary:

The Front Desk Officer serves as the first point of contact for patients, visitors, and staff. This role ensures smooth reception operations, provides exceptional customer service, and supports administrative tasks to maintain a professional and welcoming environment within the hospital.

Key Responsibilities:

1. Reception & Customer Service

  • Greet patients and visitors warmly and professionally.
  • Guide patients regarding appointment schedules, departments, and hospital services.
  • Respond to inquiries in person, over the phone, and via email.
  • Ensure patient concerns are addressed promptly or forwarded to the relevant department.

2. Patient Registration & Records

  • Maintain accurate patient registration and update information in the hospital’s system.
  • Manage daily appointment lists and coordinate with doctors and nursing staff.
  • Ensure confidentiality of patient data and secure handling of medical records.

3. Front Desk Operations

  • Maintain the cleanliness and order of the reception area.
  • Assist with billing queries and coordinate with the finance/accounts team when needed.
  • Handle tokens, queue management, and visitor passes efficiently.
  • Manage incoming/outgoing mail and courier services.

4. Coordination & Support

  • Liaise with internal departments to ensure smooth communication.
  • Assist with administrative tasks such as filing, photocopying, and preparing documents.
  • Support emergency or rush-hour situations by managing patient flow effectively.

Requirements:

  • Minimum Intermediate / Bachelor’s degree (Business Administration, Customer Service, or related fields preferred).
  • 1–2 years of experience in front desk, customer service, or hospital reception roles (preferred).
  • Strong communication skills in English and Urdu.
  • Good computer literacy (MS Office, basic data entry).
  • Professional appearance and strong interpersonal skills.
  • Ability to multitask and handle pressure with patience and calm.

Working Hours:

  • 12-hour shift: 8:00 AM to 8:00 PM
  • Schedule may rotate based on hospital needs.
