Job Summary
Just and True Immigration Law & Services is seeking a professional, well-spoken, and organized Receptionist to manage front office operations and serve as the first point of contact for clients seeking immigration and visa-related legal services. The role requires a high level of professionalism, discretion, and client-handling skills, as the receptionist represents the firm’s credibility and values.
Key Responsibilities Client Reception & Front Office Management
- Greet walk-in clients, visitors, and scheduled applicants in a polite and professional manner
- Ensure clients are properly guided regarding immigration, study visa, work visa, and other legal services offered by the firm
- Verify appointment details and coordinate client meetings with case officers, lawyers, or counselors
- Maintain a welcoming, disciplined, and organized reception area
Telephone & Inquiry Handling
- Attend incoming calls and inquiries professionally
- Provide accurate preliminary information about visa categories, documentation requirements, consultation procedures, and office policies
- Route calls to the appropriate department (legal, documentation, sales, or case processing)
- Maintain call records and inquiry logs for follow-up and reporting
Appointment Scheduling & Coordination
- Schedule and confirm client consultations and follow-up meetings
- Maintain daily appointment registers and digital calendars
- Inform relevant team members of client arrivals and appointment status
Administrative & Documentation Support
- Assist in basic documentation, scanning, photocopying, and file management related to immigration cases
- Maintain visitor registers, appointment files, and front-office records
- Handle incoming and outgoing couriers, notices, and official correspondence
- Support the legal and documentation teams with administrative tasks as assigned
Confidentiality & Compliance
- Maintain strict confidentiality of client data, case details, and firm records
- Ensure compliance with internal office policies, legal ethics, and data protection norms
- Avoid providing legal advice beyond authorized information and strictly follow firm protocols
Professional Conduct & Office Discipline
- Uphold the professional image and reputation of Just and True Immigration Law & Services
- Ensure punctuality, discipline, and respectful communication at all times
- Coordinate with staff to maintain smooth front office operations
Required Skills & Competencies
- Strong verbal and written communication skills in English and Hindi (Punjabi preferred)
- Polite, confident, and client-focused personality
- Ability to handle high client footfall and multiple calls efficiently
- Basic computer proficiency (MS Word, email, appointment systems)
- Strong sense of responsibility and confidentiality
Educational Qualifications
- Minimum: Graduate or equivalent
- Certification or diploma in office administration or customer service is an advantage
Experience
- 0–2 years of experience as a receptionist, front desk executive, or customer support executive
- Prior experience in an immigration consultancy, law firm, or professional services office preferred
Working Hours
- As per firm office hours (may vary based on client load and operational requirements)

Pay: ₹18,672.27 - ₹28,689.21 per month
