Front Desk Receptionist

Responsibilities

  • Greet visitors, clients, and staff warmly, ensuring a positive first impression at all times
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously
  • Handle incoming correspondence, including emails, mail, and deliveries with promptness and organization
  • Maintain appointment calendars and coordinate scheduling for meetings or appointments
  • Support office management tasks such as filing, data entry, proofreading, and document preparation
  • Utilize computer skills to update records using Microsoft Office, Google Workspace, and other relevant software
  • Assist with clerical duties including photocopying, faxing, organizing files, and maintaining office supplies
  • Provide excellent customer support by addressing inquiries professionally and promptly
  • Support bookkeeping activities using QuickBooks or similar accounting software when needed
  • Uphold phone etiquette standards while managing client interactions and internal communications

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Prior clerical or administrative experience preferred; experience in medical or dental reception is a plus
  • Strong customer service skills with the ability to handle inquiries professionally and courteously
  • Familiarity with multi-line phone systems and office management procedures
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Ability to manage time efficiently while juggling multiple responsibilities in a fast-paced environment
  • Typing speed of at least 40 words per minute with high accuracy; proofreading skills are advantageous
  • Knowledge of office management practices such as filing systems, data entry, and calendar management
  • Personal assistant or medical receptionist experience is beneficial but not required; training will be provided for specific duties
