Front Desk Receptionist

Position Summary

As a receptionist, a person in this position would performs a variety of secretarial and clerical support duties for the facility. Ensures the timely, efficient, and organized flow of operations for the program. Persons in this position may perform all, or a combination of, the duties described depending upon their assigned work area and the specific needs of the department. Strong organizational and secretarial skills including computerized word processing, and medical information system, with the ability to type with speed and accuracy. Ability to establish and maintain a filing system. Sound knowledge of medical terminology, grammatical structure, spelling, English composition and business correspondence formats. Sensitive, flexible and mature enough to cope with difficult and mentally ill clients. Able to maintain confidential information. Ability to work with minimum supervision.

Qualifications

Education: High School Diploma or GED equivalent.

Experience: Receptionist/secretarial experience of 1-2 years is strongly preferred or equivalent training. At least 1 year of working in a behavioral health setting preferred.

Additional Requirements: CPR certification and Handle with Care (HWC) within 30 days of employment. Must be at least 21 years of age. May be required to work flexible hours and overtime.

  • Greets all customers in a positive manner and demonstrates sensitivity to customer’s needs.
  • Answers telephone appropriate to department guidelines and avoids excessive transfers.
  • Provides superior customer service while never crossing therapeutic boundaries.
  • Demonstrates ability to listen to client/customers regarding problematic issues in in a non-defensive manner.

Accountability

  • Adheres to attendance requirements. Utilizes correct procedure for taking time off.
  • Is accountable and shows pride in work; strives to do more than the minimum required. Shows initiative and completes work in a timely and accurate manner.
  • Acknowledge mistakes and demonstrates willingness to learn and correct them.
  • Demonstrates passion and hustle in all work.

JOB RESPONSIBILITIES

  • Performs word processing, filing, photocopying and duties related to registration, order entry, scheduling and billing.
  • Prepares daily, weekly, and monthly statistical reports as requested for program data collection.
  • Attends all required treatment team and staff meetings as required.
  • Distributes outgoing and incoming mail and interdepartmental communications.
  • Understands and complies with all company and program specific policies and procedures.
  • Handles all incoming telephone calls and exercises judgement as to the urgency and the nature of the calls and directs them to the appropriate staff.
  • Inventories and orders all office supplies on a regular basis.
  • Performs routine assignments independently.
  • Functions with an awareness and reporting of safety issues and putting in maintenance requests as needed.
  • Provides direction to clients, families, and visitors in a concise, informative manner ensuring a pleasing, positive attitude and courteous tone of voice.
  • Represents the program in a positive manner in the program and within the community.
  • Obtains vitals and urine drug screens.
  • Perform other duties as necessary to accomplish objectives.
  • Must be organized, detail oriented and the ability to maintain confidentiality.
  • Must be able to form good working and therapeutic relationships.
  • May be required to perform other duties responsibilities as assigned by supervisor.

Pay: $15.00 - $19.00 per hour
