Responsibilities
- Greet visitors, clients, and staff with a warm, professional demeanor, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette.
- Handle incoming and outgoing correspondence, including emails, mail, and packages, with attention to detail.
- Maintain organized filing systems, data entry records, and ensure all documentation is accurate through proofreading and careful review.
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings or events.
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and other office software to streamline daily operations.
- Assist with clerical duties such as photocopying, faxing, proofreading documents, and managing office supplies inventory.
- Provide exceptional customer service by addressing inquiries promptly and professionally both in person and over the phone.
- Support bookkeeping activities using QuickBooks or similar accounting software when needed.
- Maintain a tidy reception area and ensure all front desk equipment functions properly for seamless operations.
Experience
- Prior office experience or administrative support roles demonstrating strong organizational skills and multitasking ability.
- Proven customer service experience with excellent communication skills in both bilingual (if applicable) and monolingual settings.
- Familiarity with multi-line phone systems, data entry tasks, filing procedures, and general clerical duties.
- Experience with computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools (Docs, Sheets), and basic proofreading skills.
- Knowledge of office management practices such as calendar coordination and time management strategies.
- Previous experience in medical or dental receptionist roles is a plus but not required; transferable clerical skills are highly valued.
- Ability to handle sensitive information discreetly while maintaining professionalism at all times.
