Job Summary

Duties
- Greet visitors warmly, assist with check-in procedures, and direct them appropriately
- Manage multi-line phone systems, answer inquiries promptly, and route calls effectively
- Handle incoming and outgoing correspondence using Microsoft Office, Google Workspace, and other office tools
- Maintain organized filing systems, perform data entry, and ensure accurate record keeping
- Schedule appointments, manage calendars, and coordinate meetings for staff or clients
- Support bookkeeping tasks using QuickBooks or similar accounting software when needed
- Provide exceptional customer service by addressing questions and resolving issues efficiently
- Assist with clerical duties such as proofreading documents, managing office supplies, and supporting administrative projects
Experience
- Prior office management or administrative experience in a professional setting is preferred
- Proven experience with front desk operations and multi-line phone systems
- Bilingual abilities are highly valued to serve diverse client needs effectively
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks and manage time effectively
- Experience in customer support roles or as a medical or dental receptionist is a plus
- Knowledge of clerical procedures such as filing, proofreading, and calendar management is desirable
- Personal assistant experience or familiarity with bookkeeping using QuickBooks can enhance your candidacy
