Front Desk Receptionist

JOB SUMMARY:

Performs administrative duties for management. Responsibilities may include screening calls; managing calendars; making travel, meeting and event arrangements; preparing reports and financial data; research; errands and some customer relations. Requires computer and internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, outside clients and vendors. Sensitivity to confidential matters is required.

ESSENTIAL JOB FUNCTIONS:

  • Open and process incoming mail and business correspondences.
  • Electronically file and retrieve documents and reference materials.
  • Conduct research, collect and analyze data to prepare reports and documents.
  • Manage and maintain schedules, appointments, meals and travel arrangements.
  • Arrange and co-ordinate meetings and events as needed.
  • Record, transcribe and distribute minutes of meetings.
  • Monitor, screen, respond to and distribute incoming communications.
  • Answer and manage incoming calls.
  • Receive and interact with incoming visitors.
  • Liaise with internal staff at all levels.
  • Interact with external clients.
  • Co-ordinate project-based work.
  • Maintains clear and professional communication with internal staff through email, Teams and phone conversations.
  • Regular and predictable attendance and punctuality are essential functions of the position to facilitate collaboration and teamwork, timely client interaction and working with company equipment during scheduled business hours.
  • Other tasks as assigned.

EDUCATION & EXPERIENCE:

  • High school diploma or equivalent.
  • 2+ years in customer service.
  • Experience supporting management level staff is preferred.
  • Ability to interact effectively with employees at all levels of the organization.
  • Computer proficiency and familiarity with Microsoft Office Suite (or similar software) and web-based applications.

Travel: Local travel required. Must have reliable transportation and a 5-year MVD history, as this position involves driving executive vehicles.

SUPERVISORY RESPONSIBILITIES: Supervision of other employees is not exercised.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

The incumbent typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office. Incumbent may encounter frequent interruptions throughout the workday. The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 20 pounds. This position requires prolonged periods sitting at a desk and working on a computer.
