Job Summary

Duties
- Greet visitors and clients warmly, creating a welcoming environment for all who enter the office
- Operate multi-line phone systems to answer inquiries, transfer calls, and take messages with professionalism and courtesy
- Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Outlook
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
- Handle correspondence via email and phone, providing exceptional customer support and follow-up as needed
- Maintain office supplies inventory, order necessary items, and oversee general office management tasks
- Support administrative projects such as preparing reports, managing calendars, and supporting personal assistant duties when required
Qualifications
- Proven experience in front desk reception or office administration roles with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools
- Strong organizational skills with the ability to multitask efficiently in a busy environment
- Exceptional phone etiquette with experience managing multi-line phone systems
- Demonstrated customer service skills with a friendly demeanor and professional communication style
- Ability to type quickly and accurately while maintaining attention to detail for proofreading tasks
- Personal assistant or calendar management experience is advantageous for supporting executive schedules as needed
- Knowledge of filing systems, data entry procedures, and general office procedures to ensure smooth operations
