Job Summary

Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere at all times
- Answer multi-line phone systems promptly, providing accurate information or routing calls efficiently
- Manage appointment scheduling and calendar coordination using tools like Google Workspace and Microsoft Office
- Perform data entry, filing, and maintain organized records to support office operations
- Handle incoming and outgoing correspondence, including proofreading documents for accuracy and clarity
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide excellent customer service by addressing inquiries with professionalism and courtesy, supporting both internal teams and external clients
Qualifications
- Proven experience in front desk or administrative roles with strong clerical skills
- Bilingual proficiency in English and another language (preferably Spanish) is required
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Familiarity with multi-line phone systems, office management procedures, and customer support best practices
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Attention to detail for proofreading documents and maintaining accurate records
- Previous experience as a medical or dental receptionist or personal assistant is a plus but not required
- Demonstrated professionalism in phone etiquette, customer service, and office communication
