Front Desk Receptionist / Office Coordinator (Escrow & Title)

Job Overview
We are seeking a dynamic and organized Front Desk Receptionist / Office Coordinator with expertise in Escrow and Title operations to join our team. This energetic role is vital in creating a welcoming environment for clients, managing daily office functions, and supporting escrow and title processes. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to ensure smooth office operations and exceptional customer service. This paid position offers an exciting opportunity to be the first point of contact and coordinate essential administrative tasks within a fast-paced real estate environment.

Duties

  • Greet clients, visitors, and vendors warmly, ensuring a positive first impression
  • Manage multi-line phone systems, directing calls efficiently and professionally
  • Handle all front desk responsibilities including scheduling appointments and maintaining visitor logs
  • Support escrow and title teams with data entry, document proofreading, and filing of important records
  • Assist with office management tasks such as organizing supplies, maintaining cleanliness, and overseeing general administrative functions
  • Utilize computer skills to update databases, prepare correspondence using Microsoft Office Suite and Google Workspace
  • Manage calendar appointments, coordinate meetings, and handle time-sensitive tasks with excellent organizational skills
  • Provide exceptional customer service by addressing inquiries promptly via phone or email and offering support as needed

Qualifications

  • Proven experience in front desk reception or office coordination roles within a professional setting
  • Strong proficiency in multi-line phone systems, Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment
  • Demonstrated clerical experience including filing, proofreading, and document management
  • Familiarity with escrow or title processes is a plus but not required; training will be provided
  • Exceptional phone etiquette coupled with strong customer support skills
  • Personal assistant or calendar management experience is beneficial for supporting team members’ schedules

Pay: $37,000.00 - $44,000.00 per year
