Front Desk Receptionist/Aesthetician

Job Overview
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our aesthetics practice. In this vital role, you will manage front desk operations, support aestheticians and clinicians, and provide exceptional customer service. Your energetic approach and organizational skills will ensure smooth daily operations, creating a relaxing, professional experience for clients and team members alike. Responsibilities

  • Greet clients warmly, check them in for aesthetic treatments (facials, laser, body contouring, etc.), and ensure they feel comfortable and attended to
  • Answer multi-line phone systems efficiently, scheduling consultations and follow-up appointments using Vagaro
  • Manage appointment scheduling and calendar coordination, including double-booking protocols and buffer times for aesthetician room turnover
  • Assist with basic aesthetician support tasks: preparing treatment rooms (linens, supplies), restocking product displays, and sanitizing common areas
  • Handle data entry, client intake forms, consent documents, and treatment notes with attention to confidentiality
  • Support office management: track inventory of skincare products, retail items, and back-bar supplies; process retail sales at checkout
  • Provide customer support via phone, email, or in person, answering basic questions about treatments, pre/post-care, and pricing
  • Maintain a clean, organized, and aesthetically pleasing reception area and waiting lounge

Requirements

  • Aesthetician license is required (active and in good standing)
  • Previous experience as a receptionist, front desk coordinator, or in office management is preferred but not required – we will train the right licensed candidate
  • Comfort with computers and scheduling software (Vagaro experience is a plus)
  • Strong organizational skills and ability to multitask in a fast-paced spa or medical office
  • Bilingual abilities are highly desirable
  • Professional phone etiquette and familiarity with multi-line phone systems are helpful – training available
  • Knowledge of HIPAA or medical office protocols is a plus
  • Friendly, polished appearance and a warm, client-first attitude
