About the Role
We are seeking a professional, warm, and service-oriented Front Desk Executive to be the face of our medical co-working center. The ideal candidate will manage front-desk operations, ensure a smooth experience for doctors, healthcare professionals, patients, and visitors, and support day-to-day administrative tasks.
Key ResponsibilitiesFront Desk & Customer Service
- Greet and assist all visitors, doctors, and patients with a friendly and professional attitude
- Manage check-ins, waiting area flow, and appointment coordination (if applicable)
- Respond to inquiries via phone, email, and in-person professionally
- Maintain a clean, organized, and welcoming reception area
Administrative Support
- Handle daily operations such as room bookings, availability updates, and scheduling
- Maintain records, logs, registrations, and visitor databases
- Support onboarding of new medical practitioners using the workspace
- Prepare, manage, and organize paperwork, files, and documentation
Facility Coordination
- Liaise with housekeeping, security, and maintenance teams to ensure smooth functioning
- Monitor meeting rooms, consultation rooms, equipment, and common areas
- Report issues promptly and follow up to ensure timely resolution
- Ensure compliance with workspace policies, hygiene, and safety standards
Billing & Operations
- Support billing, invoicing, and payment tracking for room usage and services
- Maintain daily cash/transaction logs if required
- Coordinate with the operations manager for daily reporting and updates
Qualifications & Skills
- 1–3 years of experience (Freshers may apply) in front office, reception, customer service, or admin roles (experience in healthcare or co-working is a plus)
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Proficiency in MS Office; familiarity with booking or CRM software preferred
- Professional appearance and customer-focused approach
