Position Summary
The Front Desk Staff member serves as the first point of contact for all visitors, clients, and callers. This role combines warm, professional customer service with essential billing and administrative support functions to ensure smooth daily operations. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced environment.
Key Responsibilities
Reception & Customer Service
- Greet and welcome clients in a friendly and professional manner
- Answer, screen, and route incoming phone calls; take and relay accurate messages
- Manage appointment scheduling, confirmations, and cancellations
- Respond to general inquiries via phone, email, and in-person
- Maintain a clean, organized, and welcoming front desk and lobby area
Billing & Administrative Support
- Process and post patient or client payments; issue receipts and maintain payment records
- Verify insurance information and eligibility at time of service or appointment
- Generate and distribute invoices, statements, and billing correspondence
- Follow up on outstanding balances via phone and written communication
- Enter and maintain accurate billing data in practice management or accounting software
- Coordinate with billing specialist to assist with month-end billing reconciliation and reporting as directed
General Office Support
- Sort and distribute incoming mail; prepare outgoing correspondence
- Maintain office supply inventory and coordinate orders
- File and maintain electronic and paper records in compliance with confidentiality policies
- Perform data entry and update client or patient records as needed
- Support other administrative staff and management with special projects
Qualifications
Required
- High school diploma or GED equivalent
- 1+ year of experience in a front desk, reception, or customer service role
- Basic familiarity with billing or accounts receivable processes
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Strong verbal and written communication skills
- Ability to handle sensitive information with discretion and confidentiality
Preferred
- Associate’s degree in Business Administration, Healthcare Administration, or related field
- Experience with practice management software (e.g., Epic, Athenahealth, QuickBooks)
- Knowledge of insurance verification or medical/dental billing (CPT/ICD coding a plus)
Work Environment & Physical Requirements
- Part-time, in-office position; standard business hours with occasional flexibility required
- Prolonged periods of sitting at a desk and working on a computer
- Ability to lift up to 15 lbs. (office supplies, files)
- May involve frequent interruptions and the need to manage multiple tasks simultaneously
Job Types: Part-time, Contract
Pay: $12.00 - $14.00 per hour
