Front Desk Staff

Job Summary
We are seeking a dynamic and organized Front Desk Staff member to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks. Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems, directing calls efficiently and professionally while maintaining excellent phone etiquette.
  • Handle appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office.
  • Perform data entry, filing, and maintain accurate records through meticulous proofreading and organizational skills.
  • Support office management by overseeing supply inventory, managing correspondence, and assisting with clerical tasks such as photocopying and document preparation.
  • Provide customer support by addressing inquiries via phone or in person, ensuring a positive experience for all visitors.
  • Assist with bookkeeping tasks using QuickBooks or similar software to support basic financial recordkeeping.

Requirements

  • Proven office or administrative experience with strong computer literacy and proficiency in Microsoft Office Suite and Google Workspace.
  • Excellent organizational skills with the ability to multitask effectively in a busy environment.
  • Strong typing skills and attention to detail for accurate data entry and proofreading.
  • Previous experience working as a receptionist, personal assistant, or medical/dental receptionist is preferred.
  • Bilingual abilities are highly desirable to serve diverse client needs.
  • Knowledge of multi-line phone systems, phone etiquette, and customer service best practices.
  • Familiarity with clerical tasks such as filing, data entry, calendar management, and office management procedures.
