We are seeking a Front Office Administrative Assistant to join our team. This role is ideal for a motivated, detail-oriented professional who thrives in a fast-paced environment, enjoys supporting project operations, and wants to build a long-term career with a growing company.
Position Overview
The Front Office Assistant is the first point of contact for customers and provides essential support for administrative operations, project documentation, and safety compliance. This position requires attention to detail, professionalism, and the ability to multitask in a construction environment.
Key Responsibilities
- Greet visitors and handle incoming calls professionally
- Perform data entry and maintain organized job/project files
- Support project documentation and safety compliance
- Transcribe daily field reports
- Scan and upload documents into company systems
- Assist management and team with administrative tasks
- Manage calendars, track field staff activities, and attend meetings
- Support special projects as needed
Qualifications & Skills
- Minimum of 1 year of office or administrative experience required
- Familiarity with the construction industry is strongly encouraged
- Strong data entry, typing, and organizational skills
- Professional communication and customer service skills
- Proficient in Microsoft Office (Word, Outlook) and Google applications
- Ability to quickly learn company software and systems
- Ability to multitask in a fast-paced environment
- Self-motivated, proactive, dependable, and punctual
- Team-oriented with a positive attitude
- Must pass a background check and drug test
- Bilingual a plus
