We are seeking a dynamic and highly organized Front Office Administrator to be the welcoming face of our organization. Responsibilities
- Greet visitors, clients, and vendors professionally, ensuring a warm and welcoming atmosphere
- Manage multi-line phone systems, directing calls efficiently and courteously
- Handle all front desk duties, including answering inquiries, scheduling appointments, and providing information
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading
- Support office management tasks such as calendar management, appointment setting, and coordinating meetings
- Utilize computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative functions
- Perform clerical duties, including photocopying, mailing, and managing office supplies inventory
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when necessary
- Uphold phone etiquette standards while delivering exceptional customer support and support services with accuracy
Skills
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent verbal and written communication skills
- Proficiency in computer literacy, including Microsoft Office Suite, Google Workspace, data entry, and proofreading skills
- Experience with front desk operations, office management, or administrative support roles preferred
- Knowledge of multi-line phone systems and professional phone etiquette practices
- Ability to manage calendars efficiently and coordinate appointments or meetings seamlessly
- Familiarity with clerical tasks such as filing, data entry, and document management
- Experience in customer service roles within medical or dental reception settings is a plus
- Strong time management skills with the ability to prioritize tasks effectively
- Personal assistant or medical receptionist experience is advantageous but not required
