Front Office Administrator

Job Summary
We are seeking a dynamic and highly organized Front Office Administrator to join our team! In this vital role, you will be the first point of contact for visitors and clients, ensuring a welcoming and professional environment.   • Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
  • Manage phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mailings, and deliveries with precision
  • Maintain organized filing systems both digitally and physically, ensuring easy retrieval of documents
  • Support office management tasks such as scheduling appointments, calendar management, and coordinating meetings
  • Perform data entry and bookkeeping tasks using QuickBooks or similar accounting software to support financial accuracy
  • Assist with clerical duties including proofreading documents, managing office supplies, and maintaining office equipment
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various administrative functions
  • Support administrative projects as needed, including personal assistant duties and time management tasks

Experience

  • Proven office experience with a minimum of one year in an administrative or clerical role
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Excellent computer literacy including proficiency in Microsoft Office applications and Google Workspace tools
  • Experience demonstrating professional phone etiquette
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Familiarity with bookkeeping software such as QuickBooks is preferred
  • Demonstrated ability to handle confidential information discreetly with strong proofreading skills
  • Previous experience in customer support or front desk roles is advantageous

Work Schedule

  • Monday- Thursday 7 a.m.- 4:45 p.m. with a 45 min lunch daily.
  • GET A 3 DAY WEEKEND, EVERY WEEKEND!
  • Paid Holidays after probation
  • Paid Vacation after 1 year
