POSITION
SUMMARY

The School Front Office Assistant provides essential clerical support to the School Leadership Team and staff. Key responsibilities include performing general office duties, managing receptionist tasks, assisting with student enrollment, and maintaining accurate student records. This role requires a professional and welcoming demeanor, with a focus on delivering excellent customer service through both in-person interactions and phone communication. The Front Office Assistant plays a vital role in ensuring smooth daily operations and a positive experience for students, staff, and visitors.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Greets visitors in the building, determines the nature of business, and directs visitors to their destination.
  • Maintain accurate records of all individuals entering and exiting the building by keeping sign-in and sign-out records.
  • Answers telephone to provide information, takes messages, explains school policies, and transfers calls to proper personnel.
  • Follow-up voicemails with emails to appropriate school personnel.
  • Works with Enrollment Coordinator to ensure all required documents are submitted; request records from previous schools as necessary (immunizations, birth certificates, etc.)
  • Facilitates record requests for transferring students.
  • Record and maintain accurate student tardiness via PowerSchool.
  • Maintain and update front office binders, safety procedures, contact lists, and other essential documents.
  • Track all incoming and outgoing mail.
  • Monitors, responds to and distributes incoming communications including U.S. mail, informational flyers, newsletters, notices, staff memos, and other written material.
  • Monitor all outgoing mail and packages.
  • Accepts funds for Before and Aftercare, yearbooks, student activities, etc. and submits to the Finance Manager.
  • Maintains detailed filing systems.
  • Ensure appropriate and up-to-date signage is displayed on front doors.
  • Handles all dismissal announcements.
  • Performs other related duties as assigned by their direct supervisor.


QUALIFICATIONS & SKILLS

  • High school diploma or general education degree (GED) and six to twelve months related experience and/or training.
  • Speaks professionally and effectively to families, students, administrators, and other employees of the organization. Bilingualism is preferred.
  • Performs simple, two-digit mathematical calculations using addition, subtraction, multiplication, or division. Performs these calculations related to units of United States currency, basic counting, and record keeping skills.
  • Ability to interpret and execute instructions provided in various formats, including written procedures, verbal directions, and visual diagrams.
