We are hiring a Front Office Assistant, approx. 32 hours a week. We are looking for someone with an amazing, extroverted personality, that is truly a people person.
Duties:
- Receptionist Duties: Greet and welcome guests as soon as they arrive at the office - Direct visitors to the appropriate person or department - Ensure reception area and front lobby is tidy and presentable
- Accounts: Take payments and create invoices using Gingr computer software
- Phones/Email: Answer, screen, and forward incoming phone calls and email - Provide basic and accurate information in-person and via phone/email
- Scheduling appointments - Update calendars, schedule client consultations, book reservations
- Other Clerical Duties - Filing, photocopying, transcribing, and receive, sort, and distribute daily mail/deliveries
- Master the Gingr computer software
- Take client dogs to boarding area.
Qualifications:
- Exceptional multi-tasker with excellent organizational skills
- Must be computer literate and have knowledge of Microsoft Office (Excel, Word, PowerPoint)
- Must be a self-starter and self-motivated
- Dependability (reliable mode of transportation & commitment to hours needed)
- Leadership & Customer service skills
- One year Front Office Assistant experience required - QuickBooks experience a plus but not required
- Must have a professional attitude and appearance
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Solid written and verbal communication skills
