Front office / Billing Executive

Job Summary:

The Front Office Executive serves as the first point of contact for patients and visitors entering the hospital. This role involves handling inquiries, registering patients, scheduling appointments, guiding visitors, and coordinating front-desk operations in a professional and courteous manner.

Key Responsibilities:

Reception & Patient Handling:

  • Greet patients and visitors warmly and professionally.
  • Register patients for OPD, IPD, emergency, or diagnostic services.
  • Guide patients through the registration, billing, and consultation process.
  • Provide information about hospital services, doctors, timings, and procedures.

Appointments & Scheduling:

  • Schedule, reschedule, and confirm appointments with doctors and departments.
  • Maintain and update appointment records in the hospital management system (HMS).
  • Coordinate with doctors and departments to manage patient flow.

Billing & Documentation:

  • Generate consultation slips, bills, and receipts as required.
  • Collect payments and maintain cash/card transaction records (if assigned).
  • Ensure accuracy of patient details and documentation.

Administrative Support:

  • Handle incoming phone calls and route them to the appropriate departments.
  • Manage emails, messages, and inquiries promptly.
  • Maintain cleanliness and organization of the front office area.

Customer Service:

  • Address patient complaints or concerns courteously and escalate when necessary.
  • Maintain confidentiality of patient information at all times.
  • Ensure high standards of service and patient satisfaction.

Qualifications:

  • Any degree with training in hospitality, healthcare administration, or front office management.
  • Prior experience in hospital or clinic front desk/reception preferred.
  • Basic computer knowledge and experience with Hospital Management System (HMS) or similar software.
