Position Title: Front Office Coordinator
Location: St. Charles, MO
Hours of Work: 8:30am - 5pm
Primary Responsibilities: The Front Office Coordinator is the first point of contact for visitors, customers, callers, suppliers, and employees, creating a welcoming professional experience at Craftsmen. This individual represents the organization with professionalism, energy, and clear communication while managing incoming calls, greeting visitors, and directing inquiries appropriately.
In addition to front desk responsibilities, the Front Office Coordinator provides administrative and clerical support that helps maintain efficient day-to-day office operations. This role requires strong organizational skills, attention to detail, and a customer-service mindset, along with the flexibility to adapt and manage a variety of tasks in a fast-paced environment. This role also plays an important part in living out our BUILD values daily through consistent professionalism, service, and support across the organization.
Front Desk and Customer Interaction

Serve as the first point of contact for visitors, customers, employees, and callers.

Answer, screen, and direct calls; take and relay messages accurately.

Greet visitors and provide information or guidance as needed.

Maintain visitor sign-in/out procedures and awareness of staff movements.

Support the workforce by managing office tasks enabling employees to stay productive in their roles.
Administrative and Clerical Support

Provide general administrative and clerical support including tasks such as preparing mailings, stuffing envelopes, alphabetizing documents, and other office duties.

Sort and prepare documents for scanning, ensuring attention to detail, quality control, and scan integrity.

Save digital files accurately within designated network locations.

Perform data entry and maintain organized records.

Assist with clerical tasks and administrative requests, as assigned.
Mail, Deliveries, and Office Coordination

Receive, sort, and distribute incoming mail and deliveries.
-
Operate the postage machine and assist with outgoing mail preparation.

Manage the flow of vehicle key drop-off and pick-up.
-
Assist onsite customers by locating vehicles and keys when necessary to support a positive and productive onsite experience.
Office Operations and Organization

Establish and maintain efficient office workflows so routine tasks are handled promptly and effectively, as needed.

Ensure main office areas remain organized, stocked, and well maintained including but not limited to main lobby, walkways, restrooms, conference rooms, restrooms, and lunchrooms.

Coordinate routine refrigerator clean-outs to maintain a clean and organized kitchen area.
-
Serve as the main liaison with janitorial and facilities services, addressing facility needs and issues.
Meeting and Event Coordination

Utilize Microsoft Outlook to schedule conference rooms and organize meetings.

Ensure meeting rooms are properly prepared with appropriate seating arrangements, refreshments, and necessary IT equipment.

Provide basic technical assistance related to conference room technology, as needed.

Serve as a subject matter expert for front desk related systems such as the computer sign-in application and phone system.

Maintain working knowledge of conference room technology and office systems.

Demonstrate willingness to learn additional programs and software, as needed.
Office Supplies and Employee Support

Manage inventory of office and common area supplies such as cups, utensils, plates, coffee, bottled water, copy paper, and other items, as needed, coordinating ordering with the Purchasing Department.

Assist hiring managers with new hire workspace setup, including confirming IT equipment setup, workspace readiness, supply kits, and name plates.

Manage company apparel inventory, orders, and distribution, ensuring the Apparel Room remains organized and tidy.
Event and Hospitality Support

Coordinate ordering and delivery of food for employee events and meetings (e.g., All Associates Meetings, Safety Committee meetings, employee lunches, and other company events).
Additional Responsibilities

Perform other duties as assigned to support office operations and organizational needs.
Required Skills:
-
High School Diploma or equivalent.
-
Minimum of 2 years of experience in a receptionist, administrative, or customer service role.

Professional demeanor and ability to maintain discretion and confidentiality.

Proficiency in Microsoft Office Suite applications.
-
Ability to operate office equipment including copiers, scanners, fax machines, and multi-line phone systems.

Strong keyboarding, scanning, and data entry skills.

High attention to detail and strong organizational abilities.

Ability to manage multiple tasks and adapt to changing priorities.

Able to anticipate and resolve routine office issues independently.

Collaborative mindset; supports coworkers to ensure smooth office operations.

Flexibility with work schedule, when needed.

Must demonstrate a consistent and stable work history, along with strong verbal and written communication skills.
Preferred Qualifications

Some college coursework

Exposure to office technology, conference room equipment, and basic IT troubleshooting.
Physical Requirements:

Sitting, standing, and walking in office, warehouse and manufacturing environments.

Ability to bend, lift, and position self to move about the office, as needed.
- Required use of fingers and hands to operate a computer.

Vision abilities required by this position includes close and/or color vision and the ability to adjust focus.

Must have the ability to hear and respond to auditory signals, distinguish tones and pitches in equipment, and use hearing protection during specific tasks.
