Front Office / Customer Relations Executive

Vaidyaratnam Oushadhasala PVT LTD, we are hirinh the Front Office / Customer Relations Executive is responsible for efficiently managing all front desk operations, coordinating administrative tasks between departments, and ensuring smooth communication across the organization. The role also involves handling customer care queries, coordinating logistics, and supporting management in daily administrative functions.

Key Responsibilities

Front Office & Reception

  • Attend, transfer, and redirect incoming calls promptly and courteously.
  • Coordinate visitor reception, maintain visit logs, respond to general queries.
  • Keep the reception area tidy; replace previous day’s newspapers with new ones.

Interdepartmental Coordination

  • Liaise with various departments for attendance tracking and submit reports to HR.
  • Manage vehicle scheduling and coordination with departments and FG (Finished Goods) godown.
  • Maintain constant communication with Directors and Heads of Departments.

Administrative Tasks

  • Process and reconcile bills (taxi, newspaper, canteen) via ERP system.
  • Handle courier, postage, and logistics requests from all departments.
  • In the absence of the attender, deliver memos, refreshments, and other office necessities to the CEO or others as required.

Customer Care & Complaints

  • Manage two dedicated customer care lines: record queries, coordinate with QC Doctor for responses.
  • Handle complaint management: record, route to QC, request sample, track progress, and close the loop with the customer.
  • Coordinate sample collection from branches, ensure delivery to HO, interface with QC, and follow up.
  • Maintain detailed logs of all customer interactions, progress, and resolutions.

Skills & Competencies

  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and coordination ability.
  • Proficiency with MS Office (Word, Excel, Outlook) and ERP software.
  • Problem-solving attitude and customer-centric mindset.
  • Ability to manage time effectively and work under minimal supervision.

Education & Experience

  • Any degree holder with fluency in English & Hindi
  • Minimum 2 Years of relevant experience in front office, administration, customer service, or allied roles.

Other Details

  • Location: Thrissur (Preferable only 10km - 12 KM Distance from VOS Corporate Office)
  • Work Hours: (Specify shift, e.g. 9:00 AM – 5.30 PM)
  • Joining: Immediately or specify notice period
