Responsibilities
- Greet visitors promptly and courteously, ensuring a warm and professional first impression.
- Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with excellent phone etiquette.
- Handle incoming correspondence, including emails, mail, and packages, with accuracy and timeliness.
- Maintain organized filing systems, data entry records, and digital documents using Microsoft Office, Google Workspace, and other office software.
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools.
- Assist with clerical duties including proofreading documents, managing office supplies inventory, and performing general administrative support.
- Provide customer support by addressing inquiries professionally and escalating issues when necessary to ensure client satisfaction.
Qualifications
- Proven experience in office administration, clerical work, or as a receptionist in a fast-paced environment.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills.
- Excellent organizational skills with the ability to multitask effectively while maintaining attention to detail.
- Exceptional communication skills in both verbal and written form; bilingual ability is a plus.
- Experience with multi-line phone systems and phone etiquette is highly preferred.
- Knowledge of office management procedures including filing systems, calendar management, and basic bookkeeping (QuickBooks experience is advantageous).
- Ability to handle confidential information discreetly with professionalism.
