We are looking for a back-office financial specialist to manage our accounting engine so our production team can stay focused on the craft.
The Role
This is a dedicated back-office position focused on financial accuracy, payroll compliance, and production data. There are no reception or inbound phone duties associated with this role; instead, you will focus on the financial/operational side of the business: keeping the books clean, the taxes compliant, and developing sophisticated systems to track our manufacturing costs.
Key Responsibilities
Financial Management & AR
- Full-Cycle Bookkeeping: Maintain all daily entries, accounts payable, and bank reconciliations in QuickBooks Online.
- Sales Tax Oversight: Manage multi-state sales tax compliance and filings through Avalara.
- Accounts Receivable: Manage incoming ecommerce payments and digital deposits (Note: As an ecommerce-driven business, AR is streamlined and focused primarily on payment reconciliation). No collections calls.
- Reporting: Assist management with month-end reporting and preparation for year-end CPA review.
Production Cost Tracking
- Develop Job Costing Systems: Transition our accounting from "company averages" to specific per-project tracking for our custom door manufacturing.
- Analyze Manufacturing Costs: Track and allocate direct materials, labor hours, and shop overhead to individual jobs to determine true gross profit per unit.
- Variance Analysis: Compare "estimated vs. actual" costs for completed doors and provide reports to management to help refine our future pricing and bidding strategies.
Payroll & Human Resources
- Internal Payroll: Process bi-weekly payroll, including time-punch verification and PTO tracking.
- HR Administration: Manage new hire onboarding, digital employee records, and basic compliance documentation.
Required Qualifications
- QuickBooks Mastery: Deep proficiency in QuickBooks Online is mandatory. You must be comfortable navigating complex entries and generating financial reports.
- Excel Proficiency: Advanced ability to use spreadsheets for data tracking and complex cost analysis.
- Payroll & HR Knowledge: Experience managing bi-weekly payroll and a solid understanding of employee onboarding documentation (I-9s, W-4s, etc.).
- Manufacturing Logic: Ability to understand lead times and the flow of raw materials in a "made-to-order" production environment.
- Detail Obsession: A natural "checker"—you are the type of person who catches a $0.01 discrepancy and enjoys reconciling it.
- Independent Workflow: Proven ability to manage a full set of books and administrative tasks without daily supervision.
- Physical Presence: Ability to stay productive and focused in an office located within a busy, sometimes loud manufacturing facility.
- Tech Savvy: High proficiency in Mac OS and Google Workspace (Drive, Sheets, Docs).
Preferred Skills
- Avalara Experience: Previous experience managing automated sales tax within the Avalara ecosystem.
- Manufacturing Cost Accounting: Previous experience building or maintaining "Job Costing" systems for custom manufacturing or construction.
- Project Management Tools: Experience utilizing Monday.com to coordinate between administrative and production teams.
- Formal Education: An Associate’s or Bachelor’s degree in Accounting, Finance, or Business Administration.
- Year-End Readiness: Experience preparing books for annual CPA reviews and tax preparation.
Details & Benefits
- Job Type: Full-time (32–40 hours per week)
- Office Hours: Monday – Friday, 8:00 AM – 4:00 PM
- Weekly hours & daily schedule can be flexible
- Pay Range: $25.00 – $29.00 per hour (Based on experience and skill level)
- Benefits: Paid Time Off (PTO) and 5 paid annual holidays.
