We are seeking a Full-Charge Bookkeeper to manage the complete accounting function for two assisted living facilities. This role owns day-to-day financial operations, including billing, collections, reconciliations, and general ledger management. The ideal candidate is detail-oriented, organized, and able to operate independently with minimal oversight.
Key Responsibilities:
Accounts Receivable & Collections
- Manage all resident billing (private pay and Medicaid)
- Track and maintain accurate AR aging
- Execute consistent collections follow-up on outstanding balances
- Maintain accurate resident account records
Accounts Payable
- Process and pay vendor invoices in a timely manner
- Ensure proper expense coding and documentation
- Communicate with vendors to resolve discrepancies
Banking & Reconciliations
- Perform monthly reconciliations for operating account, trust account, and credit card
- Identify and resolve discrepancies promptly
General Ledger & Close
- Maintain accurate general ledger
- Record journal entries, accruals, and adjustments
- Support monthly close and internal financial reporting
Payroll Oversight
- Coordinate with outsourced payroll provider
- Review payroll reports for accuracy and proper recording
CPA Support
- Maintain clean, organized, audit-ready financials
- Provide documentation and schedules for CPA and year-end tax preparation
Qualifications:
- 3+ years full-cycle bookkeeping (full-charge preferred)
- Strong experience with accounts receivable and collections
- Experience with bank and credit card reconciliations
- Proficiency in QuickBooks
- High attention to detail and strong organizational skills
- Ability to manage multiple entities independently
Preferred:
- Experience in healthcare, assisted living, or Medicaid billing

- Books are fully reconciled monthly with no outstanding discrepancies
- AR is actively managed with consistent follow-up
- Financials are accurate and ready for CPA review at all times
- Minimal oversight required from ownership
