We are seeking skilled applicants for the position of Bookkeeper/Office Manager. This is a full-time position, with office hours of 8:30 AM to 5:00 PM (with ½ hour lunch), Monday through Friday.
Qualifications:
§ Experience in construction bookkeeping required
§ Firm knowledge of Sage 100 Contractor required
§ Excellent communication and organizational skills
§ Comfortable with multitasking and ability to meet deadlines
§ Experience with database management, data entry, and computer networks
§ Proficient in Outlook, Excel, Word, and Adobe Acrobat
§ Accuracy and attention to detail
§ Positive, proactive and a problem solver
Responsibilities include but are not limited to the following:
· Prepare T&M and Progress Bills for clients every other week.
· Process and pay ap invoices weekly. Issue checks and prepare positive pay reports for bank fraud management. This position would be reviewing posted ap invoices for accuracy and determining what ap invoices are paid weekly.
· Prepare and file quarterly payroll tax returns as well as year-end 1099s, W2s and 940 through Aatrix/Sage 100 Contractor.
· Prepare payroll documents and enter in Sage
· Onboard new employees and manage 401(k) and health insurance benefits eligibility. Manage benefits record keeping with third-party benefits administrators.
· Report payroll monthly and pay workers comp. Facilitate insurance audits and renewals.
· Assist with collecting subcontractors’ certificates of insurance and signed contracts.
· Prepare annual financial statements for tax return preparation and make journal entries in conjunction with tax accountant.
Compensation $130,000+ depending on experience. The company pays 100% of employees’ Kaiser premiums and 30% for dependents effective the first of the month after 60 days of employment. The first of the month after six months employees can contribute to the 401(k) plan. The company may make a discretionary contribution at the end of the year determined by profitability. After 3 months of employment the employee is eligible for 8 paid holidays and 80 hours of paid time off per calendar year pro-rated to the employee’s start date.
