Grants and Compliance Lead
The Grants & Compliance Lead supports the Programs Director by providing effective and efficient support to the Access Program team, ensuring smooth program delivery through effective, insightful use and management of program-related data. This includes administrative, logistical, and information management assistance to the Executive Director, Programs Director, Program Supervisors, Program Coordinators, and other team members, as well as planning and coordination of team activities (meetings, workshops, training, travel, budgets, etc).
The Grants & Compliance Lead is responsible for a variety of administrative, logistical, and customer service tasks that support the daily functions of the Foundation’s grants and compliance-related initiatives. The ideal candidate will carry out job duties with an emphasis on attention to detail, cultural humility, respect for sensitive information and extreme confidentiality, and have an ability to complete tasks with minimal oversight and a high level of independence. This individual will be able to take direction from multiple staff members, prioritize dynamic workloads, provide excellent customer service, propose solutions, communicate effectively, and work collaboratively across the organization.
This position experiences prolonged time on the computer and phone. This position is responsible for the overall day to day operation and management of DFEO’s programs in support areas and program operations. The position reports to the Programs Director and additionally accepts direction and tasking from the Executive Director.
ESSENTIAL JOB DUTIES
· Assists the Programs Director and other Access program staff in assessing and meeting programmatic and fiscal grant-related needs specific to data collection and interpretation; addressing clients; planning appropriate services; and developing new programs, projects, policies, and procedures
· Assists with collection of student data and maintaining information for grants applications and reporting
· Maintains records and proper tracking of documents
· Develops efficient procedures for collection of student data across education programs
· Assists with creating training tools/manuals as needed
· Works closely with Programs staff to ensure timely receipt of data and that all deadlines are met
· Assists in reporting to all internal and external stakeholders, including the Foundation’s Board when needed
· Assists with audit preparation and program evaluations
· Provides support to program providers and assists Programs Director with necessary parent meetings and/or staff development training
· Supports and maintains systems to effectively recruit, register, and assist all program participants and their families; maintain appropriate records of all program participants
· Assists program providers in obtaining and maintaining required documentation for all programming, meetings, training, timesheets, sign-in sheets, and the overall progress reports of the program
· Assists with coordination of training and maintenance of records for staff certifications and training required for grants and in accordance with established practice. Schedules training as required.
· Monitor orientation of clients requesting services, to include initial assessments and referrals to internal and external resources. Ensure data is entered into appropriate databases.
· Collect data as requested for required reports; present reports to management
· Schedule and coordinate special meetings, events, staff scheduling, partners’ schedules,
· May assist with staff training, Foundation events, special committees, and overseeing staff within those committees and events
· Serves as spokesperson for the Foundation and its programs; attends meetings and events as assigned by the Executive Management; may present at events or meetings
· Supervises the Receptionists and Administrative Assistant-Programs
· May be responsible for supporting the front office by responding appropriately to phone, email, text, or in person inquiries and support requests from clients, visitors, and program participants
· Performs other duties as assigned by Executive Management to support the success of all programs and offices within the organization

REQUIREMENTS
· Bachelor’s Degree in Education or a related field preferred or in process; extensive experience will be taken into consideration in lieu of a degree
· A minimum of three years experience working at an advanced level at an educational program with office responsibility, with a high degree of job independence
· Demonstrated leadership abilities partnering with business leaders in a fast-paced changing environment
· Must always maintain strict confidentiality of participant and Foundation information; DFEO Confidentiality and Non-disclosure Agreements will apply and must be signed by incumbent
· Strong customer service and management skills
· Demonstrated ability to present, influence, negotiate and effectively coach staff and managers to use the company best practices
· Ability to express opinions in a professional manner
· Strong conflict resolution skills
· Good organizational, planning, and follow up skills
· Advanced computer skills, to include MS Office Suite, Google Suite (Word, Excel, PowerPoint, and database management), etc.
· Solid research and presentation skills
WORKING ENVIRONMENT
· Work is performed generally in an office environment but may include indoors/outdoors in a classroom/office and playground environment.
· Work is subject to constant interruptions.
· Staff may have exposure to cold and hot weather because of outdoor activities or events.

CLEARANCES
· Offers of employment are contingent upon successful clearance of the following:
- fingerprinting and background check (FBI & DOJ)
- TB test
· The following certifications must be obtained from a recognized agency to employment and must be maintained throughout employment in the position:
- CPR (Infant, Child, and Adult) Certificate
- First Aid Certificate
- Mandated Reporter Certificate
Must have a valid California Class C Driver's License and an automobile with adequate insurance coverage, or a reliable alternative method of transportation when needed to carry out job-related essential functions.
