Responsibilities
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette
- Handle incoming correspondence, emails, and inquiries with clarity and professionalism
- Maintain organized filing systems, including data entry, document proofreading, and record keeping
- Support appointment scheduling and calendar management using tools like Google Workspace or Microsoft Office
- Perform clerical duties such as photocopying, faxing, mailing, and managing office supplies to keep the workspace organized and efficient
- Provide customer support by addressing inquiries accurately and promptly, ensuring a positive experience for all clients and visitors
- Support office management tasks including organizing documents, managing office supplies inventory, and maintaining a tidy reception area
Experience
- Proven experience with multi-line phone systems and excellent phone etiquette is highly desirable
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), and Google Workspace (Gmail, Calendar)
- Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Clerical experience involving filing, proofreading, and document management is beneficial
- Fosse and Marriott Knowledge is preferred but not required
- Excellent time management skills with the ability to handle multiple responsibilities simultaneously while maintaining attention to detail
