Key Responsibilities

Core Responsibilities

High-Touch Customer Support: Act as a compassionate and knowledgeable resource for parents, physicians, and hospital staff. You will handle daily inquiries, explain screening requirements, and provide guidance and next steps.

Data & Systems Management: Utilize the Laboratory Information Management System (LIMS) and other state databases to track specimens, manage medical records, and ensure data integrity across the screening lifecycle.

Clinical Quality Assurance: Monitor hospital and clinic compliance with NBS standards. You will lead the follow-up process for "unsatisfactory" specimens, collaborating with providers to ensure timely and correct re-screening.

Financial Program Administration: Oversee billing and claims for metabolic formula.

Professional Collaboration: Interface daily with the Newborn Screening Laboratory and state agencies to maintain a seamless screening-to-treatment pipeline.


Qualifications


Job Requirements & Skills


Experience: Minimum of one year in an administrative support role with a heavy customer service focus. Experience in a pediatric clinic, hospital, or public health setting is highly preferred.

Technical Proficiency: Ability to quickly master complex software, including LIMS and electronic health records.
Clinical Knowledge: Strong grasp of medical terminology. A background in billing, claims, or medical authorizations is preferred.

Empathetic Communication: Act as a calm, professional voice for families receiving stressful news especially in addressing parent concerns regarding "unsatisfactory" results, ensuring they feel supported while understanding the urgency of a follow-up.

Provider Relations: Navigate sensitive conversations with hospital and clinic staff regarding compliance and sample quality. You will provide constructive feedback and education to improve screening outcomes without compromising professional partnerships.

Preferred Skills:
Phlebotomy training (to better assist clinics with specimen collection standards).
Familiarity with HIPAA, GRAMA, and state records management.
Communication: Exceptional oral and written skills, with the ability to translate complex medical requirements into easy-to-understand information for the general public.
