Job Title: Home Care Scheduling Coordinator

Location: Longmont, CO

Job Type: Full-Time, In-Person (Monday-Friday 8am-5pm, and some weekly on-call in the evenings required)

Pay Rate: $25-$27per hour (depending on experience)

Reports to: Agency Director/Human Resources

Position Overview: We are looking for an experienced, energetic, detail-oriented, and level-headed Scheduling Coordinator to act as the primary liaison between our clients and our caregiving team. In this fast-paced, highly rewarding role, you will manage daily schedules, respond to urgent staffing needs, and build meaningful relationships. Key Responsibilities:

  •      Schedule Management: Create and maintain accurate client and caregiver schedules utilizing our scheduling software
  •      Relationship Building: Match the right caregiver with the right client based on skill, availability, and personality.
  •      Crisis Management: Handle last-minute caregiver call-offs, schedule adjustments, and emergencies quickly and calmly.
  •      Communication: Act as the main point of contact for clients and caregivers regarding schedule changes, shift coverages, and concerns.
  •      Documentation: Log all activity, maintain accurate records, and ensure all shifts are properly documented for payroll and billing.

Required Qualifications:

  • Education: Minimum of a High School Diploma or GED
  • Experience: 1 to 3 years as a Home Care Industry Scheduler
  • Previous scheduling, dispatch, or administrative experience, ideally in home health care or a related medical field. Past experience as a caregiver is highly desired.
  • Technical Skills: Proficiency with industry-specific scheduling software (Kantime/Care+ a plus)
  • Compliance: Ability to pass criminal background checks, drug screens, and Motor Vehicle Records (MVR) checks.

  • Exceptional problem-solving skills and the ability to multitask in high-pressure situations.
  • A warm, compassionate, and empathetic approach to senior care.
  • Reliable availability, including occasional participation in rotating on-call/weekend duties.
  • Client & Caregiver Matching: Ability to accurately assess a caregiver's skills, personality, and availability against a client's specific personal care plan.
  • Crisis Management: Capacity to handle emergency call-outs, fill sudden shift gaps, and prioritize under strict deadlines with high urgency.
  • Communication: Excellent telephone and written communication skills to field requests from clients, families, and care staff.
  • Industry Knowledge: A foundational understanding of basic state/federal home care licensing regulations.
