Overview
We are seeking an energetic and personable Host to join our dynamic team! As the welcoming face of our organization, you will create a positive first impression for visitors and clients while ensuring smooth daily operations at the front desk. Duties

  • Greet visitors, clients, and vendors with enthusiasm and professionalism, ensuring they feel welcomed and valued
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously to the appropriate departments or personnel
  • Handle front desk operations including signing in visitors, issuing visitor badges, and maintaining security protocols
  • Maintain organized filing systems, process incoming and outgoing mail, and manage document proofreading for accuracy
  • Support office management tasks such as calendar scheduling, appointment setting, and coordinating meetings
  • Perform data entry tasks using Microsoft Office Suite and Google Workspace to update records and maintain databases
  • Assist with bookkeeping activities including basic QuickBooks entries and tracking expenses or invoices

Skills

  • Proven experience in front desk responsibilities with excellent phone etiquette and customer support skills
  • Strong organizational skills with the ability to multitask effectively in a busy office environment
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Bilingual abilities are highly desirable to serve diverse clientele effectively
  • Familiarity with multi-line phone systems, data entry, filing, proofreading, and clerical procedures
  • Experience with office management software such as QuickBooks or similar bookkeeping tools is a plus
  • Exceptional time management skills with the ability to prioritize tasks efficiently
  • Personal assistant experience or office experience that demonstrates strong organizational capabilities
  • Knowledge of calendar management tools for scheduling appointments and coordinating meetings
