Job Title: House Manager & Family Assistant (with Meal Prep Support)

Location: Portola Valley, CA 94028

Employment Type: 20-25 hours per week

Schedule: 2-6pm Monday–Friday (base hours), additional 3-4 flex hours for date nights/coverage

Compensation: $40–45/hour

Start Date: ASAP

About Our Family:

We are a warm, fun-loving family, both working full-time and balancing our careers with raising two young children ages 1 and 3. We are looking for a trusted partner to help us stay ahead of household tasks and support us in creating an organized, calm home. Our goal is to have more time to enjoy adventures together as a family, whether it's visiting the Children's Museum or exploring the city. One of us is always home from work three days a week, which helps us stay connected as a family despite our hectic routines. When we're not working, you'll find us enjoying time together—whether it's hitting the golf course, diving into creative art projects, or cooking up something delicious in the kitchen.

Our kids are an absolute joy—they bring so much energy and laughter to our home, and they definitely know what they want, true to their toddler nature. They're full of curiosity and always up for an adventure. We're looking for someone who can match their excitement, keep up with our busy lifestyle, and help us keep everything running smoothly so we can spend more time enjoying each other's company. We love good food and family activities, and we're excited to have someone join us to help us manage the household more efficiently, so we can spend more time enjoying life.

We need someone who can match our energy, keeping up with the fast pace of our family while being proactive and organized. You are someone who can think ahead, take ownership of household tasks, and tackle projects without needing constant direction. You'll love working in a home where creativity and fun are valued, and your positive, engaging personality will make you a great fit for our lively toddlers.

You should enjoy cooking and meal prep (especially dinner time), as well as organizing and maintaining systems that allow our home to function smoothly. You'll also be flexible and adaptable when it comes to our changing schedules and priorities, helping us manage daily tasks and family adventures.

With strong attention to detail, you take pride in supporting home organization and performing daily resets to ensure the household remains tidy and welcoming. You're highly organized and intuitive, able to anticipate the family's needs and adapt to their ever-changing schedules. You are comfortable with the responsibility of managing routines and staying on top of daily tasks ensuring everything runs smoothly.

You are someone who is self-directed, takes ownership of your responsibilities, and is open to feedback and personal growth as you help maintain the flow of a dynamic family household.

Key Responsibilities

Family Support & Child Assistance

  • Occasional support with pick-ups/drop-offs
  • Light supervision / back-up childcare
  • Prep backpacks/clothing/snacks
  • Kid-related errands

Household Management & Organization

  • Create and Maintain household organization systems
  • Daily resets and prep home for cleaners
  • Light tidying (dishes, surfaces, vacuum high-traffic areas, toy cleanup)
  • Swap out outgrown kids clothes
  • Prepare and coordinate donation drop-offs
  • Event/holiday/guest prep
  • Packing/unpacking for travel
  • Indoor/outdoor plant care
  • Change batteries, light bulbs, smoke detectors, etc.

Meal Planning & Prep

  • Batch cook 2-3 meals per week
  • Prep healthy meals/snacks
  • Grocery shopping
  • Follow dietary needs/preferences - low carb meals
  • Kitchen clean-up and maintenance

Deep Cleaning & Special Projects

  • Occasional deep cleans (fridge, oven, baseboards)
  • Refresh garage/mudroom/entry
  • Clean humidifiers/air purifiers
  • Organizational projects (toys, gear)

Inventory & Errands

  • Restock pantry/fridge/household supplies
  • Manage running household supply lists
  • Manage household orders and subscriptions (Amazon/Costco/Target)
  • Returns, dry cleaning, gift shopping
  • Mail and package handling
  • Breakdown boxes
  • Prep healthy meals/snacks
  • Prep school lunches
  • Grocery shopping
  • Follow dietary needs/preferences - low carb
  • Kitchen clean-up and maintenance

Laundry & Linen Care

  • Wash/fold/organize laundry
  • Special garment care
  • Towel rotation
  • Keep laundry areas tidy and well-stocked with supplies

Vehicle Management

  • Fueling/cleaning/organizing vehicles

Vendor & Property Oversight

  • Oversee cleaners/contractors/landscapers
  • Research/coordinate repairs and quotes
  • Seasonal property maintenance

Administrative & Personal Assistant Support

  • Calendar management (including household schedules)
  • Event and appointment coordination
