HR & Accounts Assistant
Reporting to: HR & Accounts Head
Responsibilities:
- Assist in managing employee records, personal files, contracts, and HR documentation.
- Support recruitment activities including job posting, CV screening, interview scheduling, and candidate follow-up.
- Maintain attendance, leave records, overtime sheets, and prepare monthly attendance summaries.
- Assist in processing employee onboarding and offboarding procedures.
- Update HR databases with new employee information, transfers, warnings, resignations, etc.
- Support payroll preparation by collecting attendance, overtime, deductions, and allowances.
- Coordinate staff training, medical certificates, insurance cards, visa renewals, and other HR compliance tasks.
- Handle routine employee queries regarding HR policies, leave, salary slips, etc.
- Assist the HR & Accounts Head in implementing HR policies and procedures.
- Assist with daily accounting entries including purchase invoices, sales invoices, payments, petty cash, and expenses.
- Reconcile supplier statements, customer balances, and follow up on pending payments.
- Support preparation of monthly financial reports, cash flow statements, and expense summaries.
- Maintain accurate records for vendor bills, LPOs, quotations, receipts, and payment vouchers.
- Support payroll processing by coordinating salary sheets with HR.
- Assist in bank reconciliation and daily cash/bank balance reporting.
- Coordinate with internal departments for document submission, invoices, and approvals.
- Ensure proper filing and documentation of financial records.
- Prepare reports, letters, memos, and maintain office records as required.
- Assist in coordinating internal audits and external audits.
- Ensure compliance with company policies and confidentiality of data.
- Provide administrative support to HR & Accounts Head for daily tasks and projects.
Qualification:
- Bachelor’s Degree in Commerce, Business Administration, HR, or related field.
- Minimum 5 years of experience
- Solid understanding of HR processes, payroll, attendance, and basic accounting principles.
- Proficient in MS Office (Excel, Word, Outlook) and accounting/HR software (ERP experience is an advantage).
