HR & Admin Assistant (Full Time, On-site, I-8/4 Islamabad)

Decimal Solution is a dynamic and growing organization dedicated to providing innovative technology solutions and consulting services. We are looking for a highly organized and detail-oriented HR & Admin Assistant to join our team and ensure the smooth operation of our daily administrative functions and human resources processes.

The Role
We are seeking a proactive individual who thrives in a dual-function role. You will be the backbone of our office, handling everything from recruitment coordination and employee records to office supply management and document preparation. This role requires a candidate who is exceptionally skilled with Word and Spreadsheets, as you will be using these tools daily to create reports, manage data, and streamline our processes at Decimal Solution.

Key Responsibilities

Human Resources:

  • Coordinate the full recruitment cycle for Decimal Solution: post job ads, screen resumes, schedule interviews, and conduct reference checks.
  • Manage the onboarding process for new hires, including preparing offer letters, employment contracts, and induction schedules.
  • Maintain and update accurate employee records and HR databases (both physical and digital).
  • Assist in processing payroll by tracking attendance, leave balances, and overtime.
  • Support the performance management process by preparing documentation and tracking review dates.

Administration & Office Management:

  • Oversee general office operations, including managing office supplies, equipment maintenance, and vendor relationships.
  • Prepare, format, and proofread a wide range of documents, reports, and presentations using Microsoft Word.
  • Utilize advanced spreadsheet skills (Excel/Google Sheets) to maintain logs (e.g., asset registers, leave tracking), analyze data, and create clear, organized reports with formulas and pivot tables.
  • Handle incoming and outgoing correspondence (mail, emails, phone calls).
  • Assist in organizing company meetings, events, and travel arrangements.
  • Ensure compliance with company policies and data protection regulations.

Qualifications & Requirements

  • Proven experience in an HR, Administrative, or Office Coordinator/Assistant role.
  • Must possess advanced skills in Microsoft Word (formatting documents, templates, mail merges) and Spreadsheet software (advanced formulas, pivot tables, data analysis) to create efficient reports and manage company data.
  • Strong understanding of HR processes (recruitment, onboarding, leave policies) is highly desirable.
  • Excellent organizational skills and the ability to multitask and prioritize in a fast-paced environment.
  • High level of integrity and discretion when handling confidential information.
  • Strong written and verbal communication skills.

Pay: Rs25,000.00 - Rs60,000.00 per month
