HR & Admin Executive – Job Description

Company: Safeway Group – Safeway Interiors / Safeway Facilities Management Services
Location: Abu Dhabi, UAE
Department: HR & Administration
Reports To: Branch Manager / Management

1. Job Purpose

To manage all HR and administrative functions of Safeway, ensuring smooth operations across recruitment, onboarding, employee welfare, documentation, attendance, payroll coordination, and office administration. The role supports management in maintaining compliance with UAE labour laws, company policies, and efficient day-to-day office functioning.

2. Key ResponsibilitiesA. Human Resources Responsibilities1. Recruitment & Hiring

  • Prepare job postings, shortlist candidates, schedule interviews.
  • Conduct initial screening and coordinate technical interviews.
  • Collect necessary documents from selected candidates.
  • Prepare offer letters, employment contracts, and joining forms.

2. Onboarding & Employee Records

  • Handle employee joining formalities (visa, medical, EID process).
  • Maintain accurate employee files—digital & physical.
  • Ensure new joiners are trained on company policies & procedures.

3. Attendance & Payroll Coordination

  • Monitor daily attendance from biometric system.
  • Track leave, absence, overtime, and prepare monthly attendance sheet.
  • Share payroll inputs with Accounts department before deadline.

4. HR Policies & Compliance

  • Ensure compliance with UAE labour laws and company HR policies.
  • Manage employee insurance, renewals, and related documentation.
  • Support in disciplinary procedures and issuing warnings when required.

5. Employee Relations

  • Act as the first point of contact for staff queries.
  • Handle grievances professionally and escalate where needed.
  • Assist in employee engagement activities and internal communication.

6. Training & Performance

  • Maintain performance evaluation records.
  • Coordinate annual performance reviews with managers.
  • Track employee KPIs and update management.

B. Administration Responsibilities1. Office Administration

  • Manage daily office operations, stationery, supplies, and facility needs.
  • Maintain company documents such as trade license, tenancy, insurance, vehicle renewals.
  • Coordinate with PRO for visa, immigration and government services.

2. Document Control

  • Maintain organized filing systems for HR, accounts, procurement, and project documents.
  • Prepare letters, circulars, memos, and company forms when required.

3. Travel & Logistics

  • Arrange staff travel, hotel bookings, transportation when needed.
  • Support project team with site access forms, gate passes, and authority submissions.

4. Support to Management & Departments

  • Assist Sales, Procurement, Accounts, and Operations whenever documentation support is required.
  • Prepare weekly and monthly HR/Administration reports for management.

3. Qualifications & Experience

  • Bachelor’s degree in HR, Business Administration, or equivalent.
  • 2–4 years experience in HR/Admin role in UAE (preferably construction/interiors/FM).
  • Knowledge of UAE labour law and HR best practices.
  • Experience with HR software and attendance systems.
  • Good communication skills in English (Arabic is a plus).

4. Skills Required

  • Strong organizational & multitasking skills.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Good interpersonal & communication skills.
  • Ability to work under pressure and meet deadlines.
  • High level of confidentiality and professionalism.

5. Working Conditions

  • Based in Abu Dhabi office with occasional site visits when required.
  • Standard working hours with flexibility during recruitment or urgent tasks.
