Role Summary
We are currently seeking an HR & Admin Executive / Officer to provide hands on HR and administrative support for our Dubai office as Mitrade continues to expand its local presence. The successful candidate will be responsible for supporting daily HR operations, employee administration, work permit and visa coordination, local compliance follow up, vendor management, and general office administration. This role will help ensure that employee documentation, government related employment matters, HR processes, and office support are handled in a timely, accurate, and compliant manner.
This position is suitable for a detail oriented and service minded HR/admin professional with good knowledge of UAE employment administration, strong follow up discipline, and the ability to work independently while coordinating with regional and global HR teams.

What Would Be Your Responsibilities
- Support the full employee lifecycle, including onboarding, probation tracking, employee record maintenance, HR documentation, and offboarding.
- Prepare, maintain, and update employee records, employment contracts, offer letters, HR letters, leave records, attendance records, visa/work permit files, and other HR documentation.
- Coordinate employee work permit, visa, residency, labour card, medical test, Emirates ID, and related government documentation processes, including applications, renewals, amendments, cancellations, and record maintenance.
- Monitor key HR and statutory deadlines, including probation dates, contract renewals, visa/work permit expiries, insurance renewals, and other employment related compliance timelines.
- Liaise with external PROs, HR service providers, payroll vendors, insurance providers, recruitment agencies, and relevant authorities to ensure timely and compliant processing of HR and administrative matters.
- Support monthly payroll input preparation, leave reconciliation, employee data updates, HR reporting, and maintenance of HR/admin trackers.
- Assist in ensuring local HR practices are aligned with UAE labour law, company policy, and internal approval processes.
- Keep up to date with UAE labour law, immigration, visa, work permit, payroll, and employment compliance requirements, and highlight relevant updates to management where required.
- Act as the first local contact point for routine employee HR and admin queries, including onboarding guidance, document requests, visa related updates, insurance coordination, and policy clarification.
- Support day to day office administration, including office supplies, courier/document handling, vendor coordination, facilities matters, meeting arrangements, employee seating, access cards, and office equipment coordination.
- Prepare HR/admin reports, checklists, follow up logs, and simple management updates where required.
- Perform other HR or administrative duties reasonably assigned by management.
What We Require From You
- Diploma or bachelor's degree in Human Resources, Business Administration, Management, or a related field.
- Around 1 3 years of HR, administration, PRO coordination, or office administration experience, preferably in the UAE or GCC environment.
- Good understanding of UAE employment administration, work permit processes, visa processes, labour documentation, payroll coordination, and employee record management.
- Hands on experience coordinating work permit, visa, residency, Emirates ID, medical test, labour card, and related government documentation processes.
- Experience liaising with PROs, HR service providers, payroll vendors, insurance providers, government related service providers, or local administrative vendors would be an advantage.
- Regional HR experience supporting Mauritius or EU markets would be a plus.
- Good English communication skills.
- Strong attention to detail, follow up discipline, confidentiality, and organizational skills.
- Able to work independently in a growing local office while coordinating remotely with regional HR and management teams.
- Proficient in Microsoft Office, Excel trackers, email communication, and HR documentation.
- Service minded, practical, and able to support employees professionally while maintaining confidentiality and fairness.
