Job Purpose
The HR Admin / Onboarding Specialist is responsible for managing day-to-day HR administrative tasks and ensuring a smooth and professional onboarding experience for new hires. This role acts as a link between candidates, employees, and management to ensure efficient HR processes and a positive employee experience.
Key Responsibilities
HR Administration:
- Maintain and update employee records in HR systems and personnel files.
- Prepare HR-related documents, such as employment contracts, letters, and certifications.
- Support payroll by providing accurate employee information (leaves, attendance, etc.).
- Ensure compliance with labor laws, HR policies, and company standards.
- Handle employee queries related to HR policies and procedures.
Onboarding & Offboarding:
- Coordinate pre-joining formalities (offer letters, background checks, documentation).
- Organize and facilitate new hire orientations and induction programs.
- Ensure timely provisioning of IT equipment, access cards, and workspace for new employees.
- Guide new hires through company policies, benefits, and HR processes.
- Manage exit procedures, including clearance, documentation, and exit interviews.
Recruitment Support:
- Assist with job postings, screening, and scheduling interviews.
- Coordinate with recruitment agencies or internal hiring managers as required.
Other HR Functions:
- Assist in HR projects, employee engagement activities, and training coordination.
- Generate HR reports and maintain HR metrics for management review.
- Support performance appraisal and probation review processes.
Qualifications & Skills
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- 2–4 years of experience in HR administration and/or onboarding.
- Strong knowledge of labor laws and HR best practices.
- Excellent communication and interpersonal skills.
- High attention to detail and organizational skills.
- Proficiency in MS Office (Excel, Word, PowerPoint); HRIS experience is a plus.
- Ability to handle sensitive information with confidentiality.
