Human Resources Administrative Assistant
Description of Company: Since 1891, St. Joseph’s School for the Blind has been providing specialized services to individuals with visual impairments across New Jersey. Founded by the Sisters of St. Joseph of Peace, the School is comprised of several programs, such as: Early Intervention, In-district Support Services, School for the Blind, and Adult Services. Position Overview: We are seeking a reliable and detail-oriented Human Resources Administrative Assistant to support the daily operations of our HR department. This role is ideal for someone who is highly organized, comfortable handling confidential information, and interested in gaining hands-on experience in human resources within an educational setting.
Location: Jersey City, NJ
Schedule: Monday–Friday, 8:00 AM – 4:00 PM
Salary: $45,000 – $55,000 (based on experience)

Education and Experience:
- High School Diploma required; associate degree preferred
- 1 year of Human Resources support experience required
- Strong organizational and time management skills
- Ability to handle sensitive and confidential information with discretion
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong communication and interpersonal skills
Responsibilities and Duties:
HR Records & Administration
- Maintain accurate and up-to-date personnel files for current and former employees
- Ensure employee records comply with FMLA, COBRA, ADA, DOE, and Department of Labor requirements
- Maintain employee lists, ID badges, and file retention records
Recruitment & Onboarding Support
- Assist with job postings and resume distribution to hiring managers
- Conduct reference checks and assist with background screenings (including CARI and fingerprinting)
- Coordinate pre-employment requirements such as drug testing and onboarding documentation
- Prepare new hire packets and ensure completion of required paperwork (including I-9s)
- Support new hire onboarding and orientation processes
Compliance & Reporting
- Track employee certifications, training records, and expiration dates
- Assist with required reports (DOE, NJSLEDS, Medicaid, and other regulatory reporting)
- Maintain professional development records for staff
- Ensure required labor law postings are current and displayed
HR Support & Office Coordination
- Assist with preparing employee contracts and maintaining HR documentation
- Support audits by organizing and providing requested records
- Help coordinate employee recognition initiatives and general HR programs
- Maintain HR supplies, process invoices, and manage department materials
- Assist with employment verifications and employee status changes
- Reports to the Human Resources Director
