Department: Human Resources | Reports To: HR Director

Job Purpose : To support and administer the payroll and HR operational activities with accuracy, confidentiality, and full compliance with Qatar Labor Law, company policies, and internal controls. The role is responsible for end-to-end payroll processing, HR administration, employee record management, and HR system maintenance using SAP SuccessFactors, while supporting efficient HR operations.

Key Responsibilities & Duties:

1. Payroll Administration:

  • Support the data entry & administer monthly payroll accurately and on time for all employees in Qatar.
  • Ensure payroll calculations comply with Qatar Labor Law, including basic salary, allowances, overtime, leave, end-of-service benefits (EOSB), deductions, and penalties.
  • Support the payroll officer to collect, review, and validate payroll inputs including attendance, leave, overtime, and adjustments.
  • Document monthly payroll files and coordinate with Finance and banks for salary transfers through WPS (Wage Protection System).
  • Respond to employee payroll queries professionally and confidentially.
  • Maintain payroll audit trails, approvals, and supporting documentation.

2. HR Administration & Employee Lifecycle:

  • Maintain accurate and up-to-date employee records in SAP SuccessFactors, including personal data, contracts, job changes, and compensation details.
  • Prepare HR documentation such as offer letters, employment contracts, salary certificates, NOCs, confirmations, warnings, and other official correspondence.
  • Support onboarding and offboarding processes, ensuring timely documentation, system updates, payroll inputs, and final settlement coordination.
  • Track probation periods, confirmations, contract renewals, and document expiries.
  • Manage employee time and attendance, including shift schedules, clock-in/out records, and exceptions, ensuring data is accurate for payroll and reporting.
  • Administer leave management, including annual, sick, casual, and special leaves; track balances; approve requests within delegation; and ensure proper system updates and reporting.

3. HR Systems & Reporting (SAP SF & Excel):

  • Utilize SAP SuccessFactors for employee data management, payroll inputs, reporting, and workflow approvals.
  • Generate standard and ad-hoc HR and payroll reports using advanced Excel (e.g., PivotTables, VLOOKUP/XLOOKUP, formulas, data analysis).
  • Support HR data accuracy through regular audits and reconciliations between HRIS and payroll records.
  • Assist in HR dashboards, monthly reports, and management analytics.

4. Compliance & Governance:

  • Ensure full compliance with Qatar Labor Law, Ministry of Labour regulations, WPS requirements, and internal HR policies.
  • Maintain confidentiality of employee, payroll, and compensation data.
  • Support internal and external audits by providing accurate HR and payroll records.
  • Monitor compliance related to EOSB calculations, contract terms, and employee entitlements.

5. Benefits & Deductions Administration:

  • Administer employee benefits, allowances, deductions, loans, and advances.
  • Maintain accurate records of benefits and employee contributions.
  • Provide administrative support to the HR Manager as required.

Qualifications & Experience:

  • Bachelor’s degree in Human Resources, Business Administration, Accounting, or a related field.
  • Minimum 3–5 years of HR administration and payroll experience in Qatar.
  • Strong working knowledge of Qatar Labor Law and WPS.
  • Hands-on experience with SAP SuccessFactors (mandatory).
  • Advanced proficiency in Microsoft Excel (formulas, pivot tables, data analysis).
  • Experience in payroll processing within medium to large organizations preferred.

Job Type: Full-time

Pay: From QAR4,000.00 per month
